Privacy Policy

CloudEx Inc. ("we", "us", or "our") operates the "Voice Recorder Pro" app (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices available to you. By using the Service, you are deemed to have agreed to the practices described in this Policy.

1. Our Core Principle

Voice Recorder Pro is an app that records audio through your device's microphone. Recording and playback are performed entirely on your device. Your recordings are yours: they are saved to your device's storage, and we never listen to, collect, upload, or transmit the contents of your recordings to our servers. Specifically, we do not have access to any of the following:

  • The audio you record or its contents
  • The file names or folders in which you save your recordings
  • Anything captured by your microphone

The only times any of your content leaves your device are actions you take yourself: sharing a recording, enabling the optional Dropbox backup (Section 5), or using the optional AI features with your own Google Gemini API key (Section 6).

2. Microphone and Your Recordings

Voice Recorder Pro accesses the microphone only while you are actively recording. The microphone is never used in the background without a recording in progress.

  • Audio is captured only after you tap record, and stops when you stop or pause.
  • Recordings are stored locally on your device (in the shared audio storage / a folder you choose). They remain under your control.
  • We do not send your recordings to our servers. A recording leaves your device only when you choose to share it, when you enable the optional Dropbox backup described in Section 5 (in which case it is uploaded to your own Dropbox account), or when you run the optional AI features described in Section 6 (in which case audio is sent to Google's Gemini API using your own API key).

3. Information We Collect

3.1 Information Collected Automatically

  • Anonymous crash reports: Via Firebase Crashlytics. When the app crashes, we collect the stack trace, device model, OS version, and app version. This does not include personally identifiable information or the contents of your recordings.
  • App usage statistics: Via Google Analytics for Firebase. We collect anonymous app usage events (such as the app being opened) together with device information and the device's advertising ID (AAID). We use this data to understand aggregate app usage and to measure the effectiveness of our own advertising campaigns (counting app installs that resulted from an ad). It is never used to display ads in the app.
  • Push messaging token: Via Firebase Cloud Messaging. An anonymous registration token is used solely to deliver occasional important notices about the app. It is not tied to your identity.
  • Purchase / license information: We use purchase tokens issued by Google Play to verify your one-time "Premium" purchase. We never receive any payment information such as credit card numbers.

3.2 Information Stored Only on Your Device

  • Your recordings: The audio files you create are stored on your device and, unless you choose otherwise, never leave it.
  • Transcripts and AI results: Transcripts, summaries, meeting minutes, and other AI results are stored only on your device.
  • App settings: Recording format and quality, save-location preference, theme, and similar settings are stored only on your device. They are erased when you uninstall the app or clear the app's data.
  • Dropbox link (if used): If you connect Dropbox, the access credential returned by Dropbox is stored only on your device so the app can upload on your behalf. It is never sent to us.
  • Gemini API key (if used): If you set up the optional AI features, the Google Gemini API key you enter is stored only on your device in encrypted form (Android Keystore). It is never sent to, collected by, or shared with us.

3.3 Information We Explicitly Do Not Collect

  • The contents of your recordings or anything captured by your microphone
  • A history of the websites you visit or the contents of your communications
  • Location information such as GPS coordinates
  • Phone number, contacts, calendar entries, photos, or camera (the optional calendar-based naming described in Section 3.4 reads an event title on your device only; nothing is sent to us)

3.4 Permissions the App Requests and Their Purposes

Audio recording requires several OS permissions. Voice Recorder Pro uses them only for the stated purposes:

  • Microphone (RECORD_AUDIO) — The core function of the app. Used only while you are recording, to capture audio. Nothing is captured when you are not recording.
  • Notifications (POST_NOTIFICATIONS, Android 13+) — Used to show the recording controls in the notification shade (start, pause, stop) and the recording status, and to deliver important app notices.
  • Foreground service / microphone foreground service — Used to keep recording reliably while the app is in the background or the screen is off.
  • Display over other apps (SYSTEM_ALERT_WINDOW) — Requested only if you enable the floating recording button, so you can start and stop recording from anywhere. It reads no screen content.
  • Calendar (READ_CALENDAR) — Requested only if you enable the option that names recordings after the calendar event in progress. The app reads the current event's title on your device solely to suggest a recording title; your calendar data is never collected by us or transmitted anywhere.
  • Access to audio files (READ_MEDIA_AUDIO / storage) — Used to save your recordings and to list and play them back within the app. Used on your device only.
  • Internet / network state — Used only for the optional Dropbox backup, the optional AI features (Section 6), anonymous crash and analytics reporting, and receiving app notices. Recording itself does not require the internet.

4. How We Use Information

The limited information we collect is used only for the following purposes:

  • Operating and maintaining the Service
  • Verifying your Premium purchase
  • Understanding aggregate app usage and improving the app (analytics)
  • Measuring the effectiveness of our own advertising campaigns (install conversion measurement)
  • Diagnosing and fixing crashes
  • Delivering important app notices
  • Responding to support inquiries
  • Complying with applicable laws

5. Optional Cloud Backup (Dropbox)

Voice Recorder Pro offers an optional feature that automatically uploads your recordings to your own Dropbox account. This feature is off until you explicitly connect Dropbox.

  • Authentication uses Dropbox's official secure sign-in (OAuth). The app receives an access credential that is stored only on your device.
  • Your recordings are transferred directly between your device and Dropbox. They do not pass through, and are not stored on, our servers.
  • You can disconnect Dropbox at any time from within the app, which removes the stored credential from your device. Files already uploaded to your Dropbox remain under your control in your Dropbox account.

6. Optional AI Features (Google Gemini)

Voice Recorder Pro offers optional AI features: transcription with speaker labels, automatic title suggestions, summaries, meeting minutes, action-item extraction, and translation. These features are off by default and work only after you enter your own Google Gemini API key in the app's settings.

  • What is sent: When you run an AI feature, the audio of the selected recording (for transcription) or its transcript text (for titles, summaries, minutes, action items, and translation) is sent over an encrypted connection directly from your device to Google's Gemini API, using your own API key.
  • We receive nothing: This data is exchanged between your device and Google. It does not pass through, and is never stored on, our servers, and we cannot access it.
  • Processing by Google: Google processes the audio and text you submit in accordance with its own terms and privacy policy (including the Gemini API Terms of Service). Depending on the plan associated with your API key (for example, the free tier), Google may use the submitted content to improve its services. Please review Google's terms before enabling these features.
  • Your API key: The key is stored only on your device in encrypted form (see Section 3.2) and is never transmitted to us.
  • Your control: Nothing is sent to Google unless you turn on an AI feature or run it on a recording yourself. You can stop all AI processing at any time by turning the features off or deleting your API key in the app's settings.
  • Results: Transcripts, summaries, and other AI results are stored only on your device.

7. Third-Party Services

Voice Recorder Pro uses the following third-party services. Each service has its own privacy policy.

  • Firebase Crashlytics (Google LLC) — anonymous crash diagnostic data
  • Google Analytics for Firebase (Google LLC) — anonymous app usage statistics and measurement of our own ad campaigns (install conversions)
  • Firebase Cloud Messaging (Google LLC) — delivery of important app notices
  • Google Gemini API (Google LLC) — only if you enable the AI features with your own API key; the audio and text you submit are processed by Google under its own terms
  • Google Play Billing — payments are completed on the store platform side
  • Dropbox (Dropbox, Inc.) — only if you enable cloud backup; files are stored in your own Dropbox account

Voice Recorder Pro does not display ads within the app and does not share your data with advertising networks in order to show you ads.

8. Data Retention

  • Crash reports: retained for 90 days, then deleted.
  • Analytics data: retained by Google Analytics for up to 14 months, then deleted.
  • Support emails: retained for 12 months after the last reply, then deleted (except where legally required).
  • Audio and text sent to the Gemini API (only if you use the AI features): handled and retained by Google under its own terms; we never receive or store it. The AI results are stored only on your device.
  • Your recordings and settings stored on your device: kept until you delete them, uninstall the app, or clear the app's data. Files in your Dropbox are governed by your Dropbox account.

9. International Data Transfers

We are based in Japan. The infrastructure used for crash diagnostics, analytics, and — if you enable the AI features — Google's Gemini API may be located in various countries. When you use the Service, the minimal information described above may be processed outside your country of residence under standard contractual safeguards.

10. Your Rights

Depending on where you reside (e.g., the EEA, UK, California, Japan), you may have the right to request access to, correction of, or deletion of the limited information we hold. You can:

  • Reset or delete your device's advertising ID in your device settings (Settings → Google → Ads)
  • Uninstall the app or clear the app's data to erase your recordings and settings on your device
  • Disconnect Dropbox in the app to remove the stored credential from your device
  • Turn off the AI features or delete your Gemini API key in the app's settings to stop any further processing by Google
  • Contact us at the address below to make a request regarding the information we hold

11. Children's Privacy

Voice Recorder Pro is not directed to children under the age of 13 (or the minimum age applicable in your region). If we inadvertently collect information from such a child, we will delete it promptly upon being contacted.

12. Changes to This Policy

This Privacy Policy may be updated from time to time. The latest version is always published at this URL together with its effective date. We will also notify you within the app of significant changes as appropriate.
